Accounts Receivable & Administrative Coordinator – Port Arthur, TX

Williams Fire & Hazard Control is seeking a detail-oriented and dependable Accounts Receivable & Administrative Coordinator to join our team in Port Arthur, TX. This position is ideal for someone who is organized, proactive, and experienced in accounts receivable, customer account setup, and administrative support in a fast-paced environment.

Please note: This position is open to candidates already living in Southeast Texas. Relocation assistance is not available.

Responsibilities

Accounts Receivable & Billing

  • Prepare and issue accurate customer invoices in a timely manner.

  • Monitor accounts receivable aging and follow up on past-due accounts.

  • Process payments including checks, ACH, wire transfers, and credit cards.

  • Document collection efforts and maintain organized financial records.

Customer Account Setup & Credit Review

  • Set up new customer accounts and collect all required documentation.

  • Review sales orders for accuracy and perform credit checks before release.

  • Communicate with sales and management regarding credit holds or account issues.

Tax Review & Compliance

  • Verify customer tax status and apply correct taxability to orders.

  • Validate, track, and maintain sales tax exemption certificates.

  • Support internal and external compliance and audit requirements.

Administrative Support

  • Answer and route incoming phone calls professionally.

  • Maintain filing systems and manage customer and financial documentation.

  • Provide general administrative support to finance, sales, and operations teams.

  • Support daily office operations to ensure an efficient work environment.

  • Printing and management of manuals for equipment. 

 
Qualifications
  • High school diploma or equivalent required; associate degree in business or accounting preferred.

  • 2+ years of experience in accounts receivable, billing, credit review, or administrative support.

  • Knowledge of sales tax requirements and exemption certificate processes is a plus.

  • Strong attention to detail and excellent organizational skills.

  • Clear and professional communication skills, both written and verbal.

  • Proficiency in Microsoft Office (Excel, Outlook, Word); ERP (SAGE100) or accounting system experience preferred.

  • Ability to multitask, prioritize workloads, and meet deadlines.

  • Positive, team-oriented, and customer-service focused.

📍 Location: Port Arthur, TX (Onsite)
📅 Schedule: Full-time, Monday–Friday 8:00PM - 5:00PM
